XaitPorter has an internal database where all pictures are stored. By adding new pictures to your database, a shared library of figures is created that all users, given that they have access, can use in their documents. All files uploaded must not have any security settings on them or they will not be accepted by XaitPorter.

Insert a Picture
XaitPorter gives you options when working with pictures. You can insert a new picture or you can reuse a picture already in your database.
- Place the cursor where the picture should be inserted
- Click Insert on the black menu bar
- Select Picture
- Select Insert New Picture
- Type the title of the picture in the Title field and add a caption, if applicable
- Click the Browse button next to the Picture selection
- Find and choose the picture file on your computer
- Click Open in the browse dialog
- Set the Default Crop for the picture, if necessary
- Click OK to save changes
The settings you select for your picture when you first insert it are used as default options for the Master File. That means those inserting the picture later will get those settings by default. Remember to think about how your picture will be reused! See Master Files and Instances for more information.
Insert Multiple Pictures
XaitPorter also allows you to insert multiple pictures at once by uploading a single file with multiple pages, slides, or print areas.
- Place the cursor where the picture should be inserted
- Click Insert on the top black menu bar
- Select Picture
- Select Insert New Picture
- Click the Browse button next to the Picture selection
- Choose the file you want to upload that contains multiple pages, slides, or print areas
- Click Yes on the notification that the file contains more than one picture
- Select the pictures you want to insert (or check Select All)
- Click OK
- Add a title for each picture in the Title field and add a caption, if applicable
- Click OK
The selected pictures will then be inserted into the document workspace. Only the selected pictures will be included in XaitPorter, the original file will not be saved.
Edit Layout, Label, and Options for Multiple Pictures
When inserting multiple pictures, certain settings can be quickly applied to all of the pictures simultaneously. For example, if all the pictures being inserted need to use an A4 full page layout, you can set the correct Page Style on the Layout tab then apply that to all of the pictures.
- Update the Layout, Label Type, and Options you want all pictures to have within the Insert Multiple Pictures dialog window
- Ensure that the boxes next to Label & Options and Layout Settings are selected, if desired
- Select Apply to All Pictures
If individual pictures need to have a different Label Type, Layout, or Options selected, those individual pictures can be updated without affecting the other pictures.
Edit Labels for Pictures
It is possible to manage the way labels appear once a picture has been inserted. Labels can help explain or categorize your pictures. Alternatively, you can remove labelling from being seen within the document once exported.
- Right-click on the correct picture to edit in the right hand figure column
- Select Edit Picture
- Deselect any of the optional default setting to get the desired label/caption/title outcome
- Show Title and Caption in PDF will include the title and caption information under the figure
- Include Label and Number for this Figure will include the appropriate label (e.g. Fig) and the correct numbering for the figure underneath the picture (ex: Fig 1.1)
- Include in List of Figures this is grey by default because it is tied to the option Include Label and Number for this Figure, this will include the same label and number for List of Figures at the start of the document with its associated page number
- Show Figure Reference in PDF allows you to choose whether or not the label and number will display upon export
- Click OK to save changes
Alternatively, you can right click on the Figure reference and select Edit Picture to access the Edit Picture menu.
Edit Picture Layout Options
When navigating to the layout tab, you will find both basic and advanced layout options. Basic layouts are pre-set styles based on the layout template for the section. The Basic Layout options will format your picture with the default options set by the layout template. If a document requires a more finely tuned layout, adjustments can be made within the Advanced Layout section of the Layout tab. Advanced layouts allow you to make more precise adjustments.
To change the basic layout of a picture:
- Right-click on the picture and select Edit Picture
- Click the Layout tab
- Scroll through the Basic Layout menu to select a layout
- Click OK to save changes
Advanced Layouts:
The Advanced Layout section can also be found in the Layout tab, below the Basic Layout box. Each of these settings can be used to customize the layout.
- Picture Size - how large the picture will appear upon export
- Rotate - allows the picture to be rotated left or right, offering full 180 degrees of rotation
- Vertical Position - list of options for where your picture will appear vertically on the page (default setting is Best Position: Anywhere on Page)
- Horizontal Position - Allows you to choose the alignment of the picture (e.g.left, right, center)
- Anchor - This is the part of the page the picture will use to anchor its position (column, page, key text)
- Full Page Style - only used when page is selected as the Anchor; this setting will allow you to select the size of the page your image will be placed on
Text Wrapping Options for Pictures
This feature allows the user to control how the text should flow around pictures.
The following options are available:
- None - text will not wrap around picture- text will continue below
- On Left Side - text will wrap on the left side of the picture or table
- On Right Side - text will wrap on the right side of the picture or table
- On Both Sides - text will wrap on both sides of the picture or table
Crop or Change the Picture Size
Cropping a picture allows you to remove elements of your picture that might be unnecessary for your purposes in the document.
- Right-click on the picture in the right hand figure column
- Select Crop Picture
- Drag the edges of the picture to mask what shouldn't be included
- Click OK to save changes
The arrow buttons on the left-hand side of the crop picture menu can also be used to adjust the crop sizing.
Increasing the maximum reduction of a picture:
Maximum reduction helps minimize white space in an exported document. Maximum reduction indicates the maximum percentage that XaitPorter is allowed to shrink a picture to fit to the page or column. If maximum reduction is set to off then XaitPorter will not shrink the image.
- Right-click on the picture in the right hand figure column
- Select Edit Picture
- Click the Layout tab
- Change the Max Reduction under the Picture Reduction settings
- Click OK to save changes
Decreasing the visible picture size in a document:
Picture size in XaitPorter indicates the maximum size of the picture. Altering the percentage of the picture size tells XaitPorter how much of the column space it can use. This differs from maximum reduction in that maximum reduction is about how much an image size can be shrunk to fit in the section and picture size sets how large the image can be.
- Right-click on the picture in the right hand figure column
- Select Edit Picture
- Click the Layout tab
- Change Picture Size under Advanced Layout settings
- Click OK to save changes
Move a Picture
Pictures can be moved around in your document by cutting and pasting the figure reference in the document workspace.
- Select and highlight the Figure Reference ID in the document workspace
- Cut the Figure Reference ID
- Paste the Figure Reference ID into its new location
Once the section saves, the figure sequence number will be updated automatically.
Remove a Picture
- Navigate to the section containing the picture
- Right-click on the Figure Reference ID
- Select Remove Picture
- Click Save (floppy disk icon on Text Editor Toolbar) to save changes
Alternatively, you can also right-click the picture in the Figure column and select Remove Picture.
