Master Files and Instances
XaitPorter allows you to quickly reuse pictures that have been modified and captioned as needed. When you upload a new picture to XaitPorter, you are actually creating two things: a master file and an instance of that picture. This article will help you understand how to get the most out of your picture library.
What is a Master File?
A master file is the reference point for all instances of a picture. It is never actually used within sections but it will house the default settings for your image. The master file contains the picture file itself, along with default settings that are applied when an instance of that master file is used. For example, you can set the default title, caption, label type, and the default crop for the image. Each time the master file is used, those default settings will be applied to that instance of the master file.
What is an Instance of a Picture?
An instance is any usage of your master file in a section of XaitPorter.
Whenever you insert a picture either from file or from the library, an instance of that picture will be created. Instances can be overridden on a section by section basis. Changes made to an instance won’t affect any other instance of the picture. They only apply to the instance where the change has been made.
How to Edit a Master File
To edit a master file, right click on the preview in the right pane and select Edit Master File. Alternatively, you can edit the Master File by right-clicking the preview and selecting Edit Picture and then clicking the Edit Master File button. Please note that you will only be able to edit the master file of pictures that you uploaded into XaitPorter. System Administrators are the only users authorized to edit any master file.
How to Edit an Instance
To edit the instance of the picture, right-click on the preview in the right-hand column and select Edit Picture, or right-click on the picture reference ID in the text editor and select Edit Picture from the context menu.
Replace a Picture File
Whenever a picture file is replaced, the picture file is updated in every section where the picture is being used, unless a section has been locked to a certain version of the master file. For more on this, see Object Versioning. To remove a figure from a section, refer to Remove a Picture.
- Go to the section where the picture is being used
- Right-click on the picture in the right-hand column
- Select Edit Master File
- Click Replace
- Find and choose the new picture file
- Click OK to save changes
Delete Picture(s) from the XaitPorter Archive
Before you can delete a picture from the XaitPorter archive, you will first need to check to see if it is currently in use in any sections.
- Navigate to the document workspace
- Click Search on the black menu bar
- Select Search All Documents
- Under Filter by Type, check the box next to Picture
- To narrow your results, select a specific project or document
- Type the name of the figure in the text field, if known
- Right-click on the picture found in the results
- Select View Picture Usages
You can also access this menu from within the Picture Report by selecting the Show Usages link next to the figure you wish to remove.
If the picture is currently in use, you will need to navigate to each section listed and remove it. You can simply click the name of the section to open it and locate the picture in the right-hand column to remove it (see Remove a Picture).
Once all usages of the picture have been removed, you will be able to delete it from the XaitPorter archive by right-clicking on the picture within your search results and selecting Delete from the context menu. If the picture is being used in projects that you do not have access to, a System Administrator will need to complete the process.
