Mandatory metadata fields are metadata fields that must be given a value when creating a new project. To make a mandatory field appear when a project is created, the mandatory metadata field must be added to a metadata set and that metadata set added to the project level of a Project Type that is selected for the new project. Setting metadata fields as mandatory ensures that metadata is correctly filled in when a project is created.
A metadata set with mandatory metadata fields can be added to a project after it is created, as well. Mandatory metadata fields can be added to an existing project or an existing metadata set that is in-use. When this happens, the mandatory field must be filled out the next time the Edit Project dialogue is opened.
Creating a Project with Mandatory Metadata Fields
When you create a new project using a project type that has mandatory metadata fields, you will see those options on the New Project dialogue. Mandatory metadata fields have an asterisk next to them. You must give fields with an asterisk a value before you can successfully create a new project. Once you have given all required fields a value, click OK to create the new project.
How to Create a Mandatory Metadata Field
This section only applies to those with the Manage Metadata system permission, such as Information Architects. If you are interested in creating a mandatory metadata field but do not have users with the correct system permission in your system, please contact your System Administrator or Key Account Manager.
- Select the Mandatory on Project Level box while editing the metadata field
- Click OK
- Add the metadata field to a metadata set
- Add the metadata set to the Project level for a Project Type
When you create a project using a Project Type that has mandatory metadata fields, those fields will appear on the New Project dialogue. You will now see a new area on metadata fields called Field Hint Text. This should be used instead of Optional Default Value for mandatory metadata fields. Selecting a default value for a mandatory metadata field means users will not be forced to fill in the field with a new value. Using the Field Hint Text allows you to tell the user what should be written in the metadata field (such as "Enter RP #").
